Code of Conduct

The following outlines the Convention Rules and Code of Conduct for all attendees, volunteers, and staff (collectively referred to as “BR&WLers”) at the Board, Role-playing & War-gaming League (referred to as “BR&WL”), BR&WL-CON gaming convention.

CONVENTION RULES

  1. Respect and Courtesy: All attendees must be considerate and respectful towards fellow BR&WLers. This includes refraining from using vulgar language or gestures, and from any form of bullying or harassment.
  2. Badge Visibility: Your convention badge must be worn and visible at all times while you are at the BR&WL-CON.
  3. Badge Revocation: BR&WL-CON reserves the right to revoke badges or remove attendees from the convention at their discretion. No refunds will be provided if an attendee is removed.
  4. Health Considerations: If you are feeling sick or have recently been exposed to someone who is ill, please stay home to prevent spreading illness.
  5. No Unauthorized Solicitation: Marketing, selling, or soliciting to other attendees without the explicit consent of BR&WL-CON is strictly prohibited. This rule extends to distributing flyers, pamphlets, promos, business cards, posting on our social media, and attaching materials to hotel walls.
  6. Hotel Room and Parking Policies: Selling hotel rooms or transferring/selling hotel parking passes is not allowed.
  7. Photography and Filming: Attendees may be filmed or photographed for the marketing and promotional efforts of the venue and BR&WL-CON (see Photo and Video Release below).
  8. Game Library Handling: Games and their components, including rule books, must not be removed from the game library area. After playing, games must be returned to the library.
  9. Open Gaming: Open and popup games are welcome; however, attendees cannot claim an open table in the non-open gaming designated areas for their exclusive use or post any signage about their game. Open and popup games are to be limited to no more than 4 hours.

BR&WL-CON retains the authority to address any violations of these rules or any other behavior deemed inappropriate, even if not explicitly mentioned here.

CODE OF CONDUCT

At BR&WL-CON, we believe that gaming is for everyone. We are dedicated to creating a fun, inclusive, and safe environment for all BR&WLers, free from any form of discrimination based on age, body size, disability, gender expression, gender identity, nationality, physical appearance, race, religion, sexual orientation, or any other differences. This Code of Conduct sets out our expectations for all BR&WLers’ behavior and outlines the consequences for any unacceptable actions. We invite everyone to contribute to making BR&WL-CON a positive and secure space for all. Let’s keep the fun alive!

Expected Behavior: Respect and Consideration: All BR&WLers must treat each other with respect and consideration. This includes:

  • Maintaining good hygiene with the suggested 6/2/1 rule; a convention guideline for personal hygiene that recommends getting enough sleep, eating well, and showering regularly — 6 hours of sleep, 2 meals a day, and 1 shower a day. Adjust these minimums according to your needs.
  • Wearing your badge visibly at all times in the gaming area.
  • Asking for permission before taking photos or recording videos of others, and stopping if requested.
  • Adhering to requests to cease any unacceptable behavior.
  • Following all BR&WL-CON policies.
  • Reporting any unacceptable behavior or distress to BR&WL-CON staff.
  • Contacting emergency services immediately in urgent situations.

Unacceptable Behavior: Includes, but is not limited to:

  • Any form of vulgar, intimidating, harassing, abusive, discriminatory, derogatory, or demeaning conduct.
  • Stalking or following someone.
  • Taking photos or recording videos without consent.
  • Disrupting events or interrupting others repeatedly.
  • Inappropriate or unwanted sexual attention, including language, gestures, imagery, or sexting.
  • Engaging in illegal activities.
  • Encouraging any of the above behaviors.
  • Any other behavior deemed inappropriate by the VENUE or BR&WL-CON.

A Separate and Safe Space: – BR&WL-CON is a retreat from everyday life. We encourage leaving discussions of current events, politics, medical advice, or non-gaming related topics outside the convention to maintain a focused, fun atmosphere.

Profanity/Vulgar Speech:

  • Be mindful that what might not offend you could be offensive to others. Intentionally obscuring profane or vulgar language is not allowed.

Copyright/Trademark Infringement:

  • Please respect the intellectual property rights of BR&WL-CON and its sponsors. Do not post or link to content that infringes on copyrights or trademarks.

STOP MEANS STOP and NO MEANS NO!

  • If a fellow BR&WLer asks you to stop an action, you must comply. Failure to do so after being reported to staff can result in removal from the convention.

Reporting Unacceptable Behavior:

  • If you experience or witness unacceptable behavior, or if you believe the Code of Conduct isn’t being followed, report it to a BR&WL-CON volunteer or staff member immediately.
  • Avoid engaging with the offender. Sometimes, a clear “No” or “Please leave me alone” or simply leaving can resolve the situation, but please inform staff to help identify repeat offenders.
  • Staff will ensure your safety, take your report in a confidential setting, and may involve another staff member for proper management. You’ll be asked to describe the incident, which we’ll handle with care. You can bring someone for support, and we will not reveal your identity. Reports remain confidential unless involving criminal activity, which we’ll report to law enforcement with consideration for your concerns. Staff can assist with contacting security, law enforcement, or support services, and provide escorts to ensure your safety during the event.

Photo and Video Release

  • By attending the BR&WL-CON event, you are entering an area where photography, audio, and video recording might take place.
  • Your attendance and presence at the event premises signifies your consent to be photographed, filmed, or otherwise recorded. This also includes your agreement to the release, publication, exhibition, or reproduction of any recorded media featuring your appearance, voice, and name for any purpose connected with BR&WL-CON and the VENUE’s initiatives. This consent is perpetual and extends to uses such as, but not limited to, websites, social media, news broadcasts, and advertising.
  • Upon entering the event premises, you waive and release all claims related to the use of recorded media of you at the event. This includes waiving any rights to inspect or approve the photos, videos, or audio recordings of you, as well as any claims for invasion of privacy, violation of the right of publicity, defamation, copyright infringement, or claims for compensation for the use of such media.
  • By participating in this event, you acknowledge that all photography, filming, and/or recording will proceed based on this consent. If you do not agree with these terms, please refrain from entering the event premises.
